Inclusive communications and accessible events: a practical guide for employers

Everything you publish, send or host either opens the door to people or quietly closes it. The Inclusive Communications and Accessible Events module gives you an inclusive communications policy, an events checklist and a digital accessibility checklist, so more people can take part.

Inclusive communications reach everyone you mean them to reach, in a format they can use and language that respects them. The same goes for events and the digital tools people use every day. Small choices, such as a missing caption or a venue with steps, decide who can take part.

The Inclusive Communications and Accessible Events module of the JEDI Inclusion Toolkit gives you the policy, checklists and templates to get those choices right.

Why do good intentions get lost in communications?

Most organisations care about how they come across. But communications are written by many hands, under time pressure, and nobody owns the checks.

An all-staff email goes out as an image with no text. A recruitment video has no captions. A team event is planned for an evening when parents and carers cannot come. None of it is deliberate, and all of it sends a message.

For B Corps, B Lab Standards V2 includes actions on inclusive communications and accessibility within the Justice, Equity, Diversity and Inclusion Impact Topic.

What happens when nobody checks?

The people left out rarely complain. They just stop opening the emails, skip the events and decide the organisation is not really for them.

Websites and internal tools build up barriers over time, and fixing them later costs far more than getting them right first.

And when someone does raise a problem, there is no policy to point to and no record of what has been done.

What does the Inclusive Communications and Accessible Events module help you with?

Inclusive Communications and Accessible Events gives you an inclusive communications policy and an events checklist, with a digital accessibility checklist alongside. It covers three areas:

↳ Internal and external communications and ethical content. How to write, design and publish so everyone can use it, and represent people fairly in what you share.

↳ Inclusive and accessible events. How to plan events people can attend and take part in, and how to remove barriers when you find them.

↳ Digital accessibility. How to check your internal tools and website, record what needs fixing, and publish an accessibility statement.

What do you get?

↳ A guide to internal and external communications and ethical content

↳ A communications template covering Content checks, Decision checklist, Internal and External

↳ A guide to inclusive and accessible events

↳ An events template covering Event checklist, and Barriers and actions

↳ A Quick Start Guide to Digital Accessibility

↳ A digital accessibility checklist covering Internal tools checklist, Internal remediation log, Accessibility statement and Website remediation plan

What will you end up with?

↳ An inclusive communications policy your teams can follow

↳ A checklist for every event you run, and a record of barriers you have removed

↳ A remediation plan for your website and internal tools

↳ A draft accessibility statement ready to publish

Why does it work for any employer?

Every employer communicates, runs events and uses digital tools. Getting them right widens your reach, helps you attract and keep people, and saves money on fixes later. The module is built on good practice first and works for any organisation.

It is self-paced, and the checklists mean the work fits into the way your teams already operate.

How is it built around the B Corp standards?

Inclusive Communications and Accessible Events supports JEDI2.i, JEDI2.l and JEDI2.p in the Justice, Equity, Diversity and Inclusion Impact Topic of B Lab Standards V2.

Your communications policy, event checklists, remediation logs and accessibility statement form a clear record of the work. Every module in the toolkit names the criteria it supports and the evidence it produces.

B Lab certifies B Corps. Includability supports the work you supply as evidence.

Where does Inclusive Communications and Accessible Events fit in the toolkit?

The JEDI Inclusion Toolkit follows four steps, in the order that suits you: find out where you stand, decide what to do, do the work, and show what changed. This module sits in the third step, doing the work.

It pairs well with Reviewing and Updating Policies With a JEDI Lens, and with Inclusive Hiring, Onboarding and Induction, where accessible adverts and events matter most.

Who built the JEDI Inclusion Toolkit?

Includability is a UK B Corp workplace culture business. We partner with organisations to build inclusive, diverse, mentally healthy, evidence-based workplace cultures.

We have worked in inclusion and workplace culture for more than six years, with some of the best-known organisations in the UK, through our Cultural Roadmap and support services. Our three directors bring more than 30 years' combined experience and have helped develop toolkits for well-known brands, including sporting organisations. Between them, they cover HR, diversity and inclusion, leadership and governance, mental health and wellbeing, talent and recruitment, inclusive communications and digital accessibility.

We know B Corp from the inside, too. Our directors have been through the B Corp process three times with two different businesses, Includability is a B Corp with a score of 143.2, and the team is working towards becoming B Leaders.

Questions people ask

What are inclusive communications?

Inclusive communications are messages, content and materials that everyone can access and understand, written in language that respects the people they describe. They cover format, wording, imagery and channel.

What should an accessible events checklist include?

The venue and how people get there, timings, formats for joining, materials, food, and how people can ask for adjustments. The module's event checklist covers each stage, with a log for barriers and the actions you took.

What is an accessibility statement?

A public page that explains how accessible your website is, what you know still needs fixing, and how people can ask for help or report a problem. The module includes a sheet to help you draft one.

Is there an inclusive communications policy template?

Yes. The module gives you the guidance and templates to write an inclusive communications policy that fits your organisation, covering both internal and external content.

Do we need to be a B Corp to use it?

No. The toolkit is built on good practice first and works for any employer. B Corps get the JEDI criteria mapping on top.

Is the JEDI Inclusion Toolkit a certification?

No. Includability does not certify, accredit or verify anything. B Lab certifies B Corps, and the toolkit helps you do the work and gather the evidence.
